WorkDynamics - Integrated FacilitiesManagement

The Facilities Manageris responsible to assist the account in charge for the delivery andperformance of FM contract deliverables for assigned sites. Therole is the key point of contact with local client and keystakeholders across client sites for the areas of responsibilityand its occupants, and act as their service providerliaison.

FacilitiesManagement
  • Establisha "Safety First" culture across sites and improve safetyperformance by championing our level of awareness and changing allstaff and partner safety behaviours.
  • Provideleadership and guidance to the team as required to ensure deliveryand achieve of high client service standards.
  • Provide formal supervision to employees. Monitor thetraining and development of staff. Conduct performance evaluationsand coaching. Oversee the recruiting and hiring of newemployees.
  • Schedule and manage the team'sdaily activities
  • Coordinate and managefacility repairs and maintenance by working with technicians,vendors and contractors.
  • Maintain positiveclient relationships and conduct meetings on unresolved facilityissues.
  • Prepare and manage capital projects,operating budgets and variance reports.
  • Perform facility inspections quality quality assurancefollowing local regulations or standards. Suggest operationalefficiencies, repairs, and upgrade opportunities.
  • Ensure compliance by ensuring renewal of all relatedgovernment and statutory licenses.
  • Ensureaudit programs are fully implemented and complied with for qualityassurance purposes
  • Liaise with Technical teamto plan, assign and supervise planned and reactive activitiesutilizing Corrigo
  • To check on site repair andmaintenance carried out by subcontractors to ensure workcompletion, quality and method of working for compliance withspecification and ordinance requirements
  • Oversee vendor relationships and invoicing procedures.Review price quotes for the procurement of parts, services andlabor for O&M related works/projects
  • Identify, troubleshoot, and resolve day-to-day andmoderately complex issues which may or may not be evident inexisting systems and processes.
  • Develops andmaintains a proactive relationship with internal and externalcustomers and understand business needs of localcustomer
  • Achieve Key Performance Indictors andService Level Agreement targets
  • Participate inemergency evacuation procedures including crisis management andbusiness continuity.
  • Conduct regular siteinspections to ensure high standards are maintained
  • To perform additional tasks as required by account incharge

ResourcesManagement
  • Cascadeaccount objectives to the team into our JLL team's Performancemeasuring system (Workday)
  • Maintain aneffective succession plan for yourself and all teammembers.
  • Manage and engage in the on-goingperformance review process for all direct reports by required duedates.
  • Arrange reliever support for requiredroles within the account

Vendor Management
  • Monitor, measure and report upon the performance of allspecialist vendors in terms of their ability to carry out the workagainst the agreed contractual budget
  • Co-ordinate meetings periodically with contractors toensure that required standards are established and maintained, anddevelop corrective action plans when, or if performance falls belowexpectations
  • Program the attendance ofspecialist subcontractors at site ensuring strict adherence toclient and JLL processes and procedure including Permit to Work,Method Statement and Risk Assessment.
  • Workwith supply chain to ensure the selection, procurement andmanagement of specialist vendors

Financial Management
  • Effectively manage site operatingexpenses to meet the budget.
  • Assist with theproduction of capital expenditure and operational expenditureplans
  • Ensure all financial processes arefollowing and compliant as per JLL and clients' competitive bidsprocess, issuing of PO's, and receiptingwork.

Education &Qualification
  • Bachelor's Degree preferred with 5 - 7 years of relevantexperience. In lieu of a degree, a combination of experience andeducation will be considered. Facility Management certificationpreferred.
  • Experience in the areas ofstaffing, training development, coaching, mentoring, measuring,appraising, and rewarding performance and retentionpreferred.
  • Ability to guide the exchange ofsensitive, complicated, expectations and handleproblems.
  • Leadership skills to motivate teamimpact on quality, efficiency, and effectiveness of the jobdiscipline and department
  • Extensiveorganizational skills with a strong inquisitive mindset
  • Experiences in account operations andmanagement.
  • Knowledge in local statutoryrequirements

Skills
  • Pleasant personality, strong customer service,interpersonal skills and problem solving ability.
  • Good understanding of facilities operations /housekeeping management
  • Computer skills inMicrosoft Office, PowerPoint, Excel
  • Independent, self-motivated, flexible, responsible andwilling to work under pressure.
  • Knowledge ofstandard business and accounting practices.
  • Knowledge of Excel and ability to analysedata.
