Job Description

Roles & Responsibilities

Job Description:

The Admin Executive is responsible for overall office administrative support tasks, including but not limited to the following:

  • Overall office administrative support:
  • Arrange delivery/courier services, collect and distribute the letters;
  • Handle matters relating to office tenancy, renovation and relocation;
  • Arrange office maintenance and other necessary services in the office including but not limited to a cleaner, printer, and landline;
  • Liaise with a telecommunications company for the purchase, renewal or termination of a company mobile phone.
  • Maintain office supplies stocks and prevent wastage;
  • Attending to guests at the reception and incoming phone calls;
  • Manage all travel-related matters including but not limited to hotel booking, transportation arrangements, visa application, travel insurance etc. for business trip travellers;
  • Liaise with hotels, airlines and travel agencies for corporate rate agreement renewal and other ad-hoc duties;
  • Support all logistic matters for company events such as meetings, Yearly Workplan seminars, etc.;
  • Handle all expatriate housing matters such as relocation, renewal of contract, repatriation etc.
  • Document control including but not limited to company policies, contract documents, compliance-related documents, and documents obtained through internal audit.
  • Support HR team to handle administrative tasks
  • Any other ad-hoc duties as assigned by HOD

Requirements

  • Minimum 3 years of office administrative experience, preferably in industrial/engineering/manufacturing business
  • Good interpersonal and communication skills
  • Meticulous, detail-oriented and observant
  • Experience working with Japanese companies will be advantageous
