Roles & Responsibilities

Responsibilities

  • Liaise with QC team and all relevant parties for receiving final Route Sheets and MTRs.
  • Review the Route Sheet’s technical information that is being sent out for reports and track of reports for Data Book compilation to ensure they are within the deadlines set.
  • Coordinate with Customers, TPIs or Certification Body for the Data Book’s review, where applicable.
  • Compile an accurate Data Book with Reports, Certificate of Conformity and completion form, within 3 days after delivery of product or based on customer needs.
  • Scan document, certification and maintain the softcopy of Data Books in MasterControl per work order basis.
  • Maintain the Material Certificate (MTRs) files in Master Control with easy traceability.
  • Data entry for some inspection reports based on Inspector’s hand-written copies.
  • Handover the Data Book copy with transmittal to Sales Department or Customer for submission.
  • Organise and maintain hardcopy of Data Books in the appropriate document control storage area.
  • Maintain the Data Book files and tracking logs as required.
  • Provide training and guidance to teams concerning good documentation practices and records management. Identify continuous improvement opportunities and actions to continually enhance the performance of the Data Book and Document Management System.
  • Make QC related Purchase Requisitions to Purchaser.
  • Assist QHSE Manager for ad hoc or any other duties which will be assigned.
  • Under and follow company’s QEHS Policies and procedures.

Requirements:

  • Minimum Diploma, ITE, NITEC or NTC 3.
  • Hands-on experience at least 1 year as QA/QC Document Controller or Document Admin in the field of oil & gas, engineering or construction industry is preferred.
  • Good knowledge in SharePoint, SAP or Document Management System is preferred.
  • Must possess strong computer skills and sound skill in MS - Excel, MS - Word, MS - Power point.
  • Demonstrated ability to work effectively in a team environment, manage multiple priorities, flexibility and work well under pressure whilst still producing accurate and timely work.
  • Good interpersonal skills and team player to accomplish the company’s objectives and goals.
  • Speak and Read English fluently.
  • Able to manage own time and respond positively at all levels
  • Excellent interpersonal and communication skills
  • Able to work in a fast-paced and deadline-driven environment.
  • Ability to keep clear and accurate records and reports.
