We are currently seeking a highly motivated and detail-oriented Administrative Executive to join our dynamic team.


Job Summary: The Administrative Executive will play a crucial role in ensuring the smooth and efficient operation of our office. The ideal candidate will be responsible for performing a variety of administrative tasks, coordinating office activities, and providing support to the management team. We are looking for someone who is organized, proactive, and able to handle multiple tasks with minimal supervision.


Responsibilities:

  • Provide general administrative support, including managing phone calls, emails, and correspondence.
  • Maintain an organized and efficient filing system, both physically and digitally.
  • Coordinate and schedule meetings, appointments, and travel arrangements for the management team.
  • Prepare and distribute internal memos, reports, and other documents as required.
  • Assist in the preparation of presentations, meeting materials, and agendas.
  • Conduct research and compile data to support various projects and initiatives.
  • Assist in the recruitment process, including posting job advertisements, scheduling interviews, and maintaining candidate records.
  • Coordinate and liaise with external vendors, suppliers, and service providers.
  • Assist in the preparation and monitoring of budgets, expenses, and office supplies.
  • Manage office facilities and equipment, ensuring proper maintenance and functionality.
  • Support the implementation of administrative policies, procedures, and initiatives.

Qualifications:

  • Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Proven work experience as an Administrative Executive or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Attention to detail and a high level of accuracy in completing administrative tasks.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently and as part of a team, with a proactive and positive attitude.
  • Knowledge of office management systems and procedures.
